Administrative Coordinator at Swift will work with the Swift team to ensure our diverse group of tenants receives best-in-class property/office management services and that our campus is the number one place for small businesses to locate and grow. Essential Duties and Responsibilities:

This position will work directly with the Property Manager at Swift, assisting in all aspects of the community and economic development programming and serving as the office manager, receptionist, lead marketer and administrative assistant. You will be the face of the campus at our reception desk, greeting tenants and visitors, answering phones, setting up and coordinating events, coordinating contractors and vendors for site maintenance, filing and bookkeeping for rent roll and operating expenses, and doing everything possible to empower and aid the success of the small businesses and entrepreneurs that occupy our campus.

  • Promote Swift Factory and NHP brands, vacant spaces, and events to generate new business leads.
  • Oversee creation of marketing materials and develop strategies to get the word out about Swift Factory.
  • Working with management to develop ideas for innovative events and administer those events.
  • Assist in planning outreach programs, conferences, meetings, and seminars, with the responsibility to make all necessary arrangements, including travel and coordination of event details.
  • Engage tenants as a liaison to our business advisory and culinary collaborative partner organizations, making appropriate referrals.
  • Assist in strategizing new ways to engage community members.
  • Maintain project accounting, bookkeeping, rent roll and financial reporting.
  • Prepare presentations in google slides or PowerPoint with management direction.
  • Open and close the campus, including conducting a daily inspection of the premises.
  • Assist in strategizing how to support the project’s small business tenants
  • Work with the building superintendent to increase building operations efficiency.
  • Work with the building superintendent to identify and resolve cleaning and maintenance issues.
  • Help connect/network tenants with each other and make referrals.
  • Maintain a filing system for the operations team.
  • Answer phones and greet tenants and visitors.
  • Receive and distribute mail and maintain campus mailboxes and deliveries.
  • Maintain office and kitchen inventory.
  • Oversee set up of spaces for events as needed.

Supervision & Reporting:

This position works closely with and reports directly to Swift’s Property Manager, supporting all of the above-mentioned responsibilities. Some weekends and on-call may be required, but generally, this position is on site Monday-Friday 8 AM-5 PM.

Knowledge, Skill And Ability:

  • Basic financial bookkeeping and reporting experience are a must.
  • Technologically proficient with MS Office, Google Apps, Video Conferencing, Social Media, Adobe programs
  • Ability to think on your feet, managing a wide variety of tasks and duties with routine interruptions of your workflow with ad-hoc requests.
  • Comfortable in a variety of social settings
  • Exceptionally well organized and comfortable managing files physically and digitally, maintaining logs and records.
  • Demonstrated written and verbal communication skills
  • Considerable knowledge of office procedures and working within a team for process improvement.

Preferred Experience & Qualifications:

  • Three (3) years of relevant administrative experience, or a Bachelor's degree and one (1) year of relevant experience may be substituted.
  • Current resident of Hartford’s North End is preferred
  • Ability to function independently while operating effectively within a team environment
  • Yardi experience preferred
  • Commitment to the mission of Swift and NNPI
  • Up to date with the latest trends and best practices in online marketing and promotion.
  • Food business experience is a plus
  • Reception or other customer/client facing experience is a must
  • Servsafe Certification is a plus, and will be required within 90 days of starting the position
  • Professional, courteous demeanor and appearance; ability to engage positively and work professionally with tenants, youth, and staff members

Physical Requirements and Working Conditions:

Candidates must be able to report to the office daily, be able to sit or stand for long periods. Candidates must have adequate physical strength and stamina to lift, push and/or pull at least 20 lbs., must have visual and auditory acuity, and must maintain such physical fitness as to be able to perform the duties of this role. Must have a driver’s license and vehicle for local travel.

Benefits and Compensation:

North Hartford Partnership and Swift Factory offer competitive salaries, health insurance, benefits packages, and paid holidays. The salary for this position is $43,000 - $53,000.
